Akira Energy is looking for a dynamic and well-organized Operations Coordinator to be the central point within our operational team. In this role, you will work closely with our Account Manager(s) and serve as a vital link between clients, suppliers, and our on- and offshore personnel.

Your Responsibilities as Operations Coordinator:
- Support the operations team by working closely with the Account Manager(s).
- Handle full planning and logistics for our field / offshore personnel, including booking flights, hotels, rental cars, taxis, and other transport.
- Manage and maintain certification records, including scheduling and booking offshore-related training.
- Format and update CVs for new and existing personnel in our company style.
- Collect, prepare, and verify employee timesheets.
- Create detailed project playbooks for larger offshore and onshore assignments.
- Order and manage workwear, PPE, and other necessary materials.
- Maintain the overall offshore planning and staffing overview.
- Take meeting minutes and ensure clear communication of action points.
- Contribute to administrative tasks such as contract management and personnel files.
- Communicate with suppliers for accommodation, training, or transportation needs.
- Act as the go-to point for field staff regarding planning, travel, or documentation questions.
- Suggest improvements to internal processes and organizational structure.
- Assist in the preparation and organization of international trade shows and events where Akira Energy is represented.
- Manage scheduling and agendas for the team and management.
- Support market research efforts in preparation for new projects or market expansion.
- Provide excellent service to suppliers, field staff, and occasionally clients, ensuring all questions and expectations are handled professionally and promptly.
- Always plan ahead: you identify bottlenecks early and anticipate future needs to keep projects on track and meet deadlines.
What We’re Looking For:
- Bachelor-level education or thinking.
- Proactive attitude and ability to work independently.
- Strong organizational skills and stress resilience you stay calm under pressure.
- Excellent communication skills in Dutch and English, both spoken and written.
- Experience in a similar role or within the offshore/energy industry is a plus.
- Comfortable with computer systems like Microsoft 365 / Office and willing to learn new tools.
- Flexibility to travel internationally if required.
- Strong service orientation and excellent interpersonal skills with suppliers, clients, and field teams.
- A keen eye for planning ahead, spotting challenges early, and taking timely action.
- Valid Dutch driver’s license
- Based near Alkmaar, the Netherlands
- Willing and able to commute to the office as required
